Before You Begin — Unbox & Prepare Your Printer
Rushing straight to the Wi-Fi connection is the most common setup mistake. A few minutes of preparation will prevent the most frustrating problems later.
Remove all packaging tape and protective foam — check inside the paper tray, around the ink cartridge access area, and underneath the printer. Missed tape is a very common cause of paper jams and cartridge errors.
Remove orange protective clips or tape from ink cartridges before installing them. These are shipping protectors and must come off before use.
Install ink cartridges or toner: open the cartridge access door and insert each cartridge until it clicks firmly into place. The printer will usually initialise automatically.
Load paper: fan the paper stack before loading to prevent multi-feeds. Adjust the paper guides so they fit snugly against the paper edges — not too tight, not loose.
Connect the power cable and turn on the printer. Allow 1–2 minutes for initialisation. Many printers will automatically print an alignment page on first startup.
Check the printer display (or indicator lights). It should show a ready state or prompt you to begin wireless setup. If it shows an error, check that all cartridges are correctly seated and all covers are closed.
Have your Wi-Fi network name (SSID) and password ready. Most home printers only connect to 2.4 GHz networks — if your router broadcasts both 2.4 GHz and 5 GHz with different names, use the 2.4 GHz one. Passwords are case-sensitive.
📶 How to Connect Your Printer to Wi-Fi
Wireless setup lets you print from any device on your home network — computers, phones, and tablets — without any cables. There are three ways to connect: the Wireless Setup Wizard (most common), WPS button (fastest), or the HP Smart / Canon PRINT app (for app-guided setup).
On the printer's touchscreen or control panel, go to Settings (or the gear icon).
Select Wireless → Wireless Setup Wizard (sometimes labelled "Wi-Fi Setup" or "Network Setup").
The printer will scan for available Wi-Fi networks. Select your network name (SSID) from the list.
Enter your Wi-Fi password using the on-screen keyboard. Double-check each character — passwords are case-sensitive.
Confirm and wait 30–60 seconds. The wireless indicator light should turn solid blue or green (not blinking) when connected successfully.
Print a Wireless Network Test Report from the printer's Network or Wireless menu to confirm the connection details.
Can't see your network? Move the printer within 6 feet of the router during initial setup. Check that your router is broadcasting on 2.4 GHz. After connection, you can move the printer back.
WPS (Wi-Fi Protected Setup) connects your printer to Wi-Fi with a button press — no password needed. Your router must support WPS (most home routers do — look for a WPS button on the router body).
On the printer, go to Settings → Wireless → WPS Connection (or press and hold the Wireless button for 3 seconds until it blinks).
Within 2 minutes, press the WPS button on your router (usually labelled WPS, sometimes a small button on the back or side).
Both devices will exchange credentials automatically. The printer's wireless light will go solid when connected (takes up to 60 seconds).
Note: WPS is not available on all printer models. If you don't see the WPS option in the printer menu, use the Wireless Setup Wizard method above instead.

Download the app for your brand: HP Smart (HP), Canon PRINT (Canon), Epson Smart Panel (Epson), or Brother Mobile Connect (Brother) — all free from the App Store or Google Play.
Open the app and tap "Set Up a New Printer" or the + icon.
Follow the in-app instructions — the app will detect your printer via Bluetooth or USB and connect it to your home Wi-Fi automatically.
Once connected, the app will also let you print, scan, check ink levels, and manage printer settings from your phone.

Once your printer is connected to Wi-Fi (or plugged in via USB), adding it to Windows takes under two minutes. Windows will usually detect the printer automatically.
Open Settings (Windows key + I) → Bluetooth & devices → Printers & scanners.
Click "Add device". Windows will scan your network for printers.
When your printer appears in the list, click "Add device" next to it. Windows installs a basic driver automatically.
Open any document (e.g. Notepad) → File → Print → select your printer → Print to confirm it's working.
Printer not appearing? Make sure the printer is on, connected to the same Wi-Fi network as your PC, and try clicking "The printer that I want isn't listed" for manual add options.
Go to Settings → Devices → Printers & scanners.
Click "Add a printer or scanner". Wait while Windows scans the network.
Click your printer name when it appears and follow the on-screen instructions.
If it doesn't appear after 30 seconds, click "The printer that I want isn't listed" → choose "Add a printer using a TCP/IP address or hostname" and enter the printer's IP address (found in the printer's Network menu or on a Wireless Test Report).
Go to Settings → Printers & scanners and click your printer.
Click "Set as default".
If "Let Windows manage my default printer" is enabled, turn it off first — otherwise Windows may automatically switch default printers and override your choice.
🍎 How to Add a Printer to Mac
Macs support AirPrint natively for basic printing with no software needed. For scanning, ink level monitoring, and advanced features, install the manufacturer's full driver package.
Make sure the printer is connected to the same Wi-Fi network as your Mac.
Click the Apple menu → System Settings (macOS Ventura and later) or System Preferences (older macOS).
Go to Printers & Scanners and click the + (Add Printer) button.
Your Mac will scan the network. Click your printer when it appears in the list.
In the "Use" dropdown, select AirPrint for basic use, or the manufacturer driver (if installed) for full features. Click Add.
Open a document → File → Print → select your printer → Print to confirm it works.
Want scanning to work on Mac? AirPrint does not include scanning. Download the full driver package from the manufacturer's website for scan functionality.
Find the printer's IP address: on the printer, go to Settings → Network → Wireless Summary or print a Wireless Network Test Report.
In System Settings → Printers & Scanners → click +.
Click the IP tab at the top of the Add Printer dialog.
Enter the printer's IP address in the Address field. Set Protocol to HP Jetdirect – Socket (for most printers) or IPP. Click Add.
📱 How to Print from Your Phone or Tablet
You can print wirelessly from Android and iPhone without any cables. Most modern printers support AirPrint (iPhone/iPad) and Mopria Print Service or manufacturer apps (Android).
AirPrint is built into iOS — no drivers or apps needed. Your printer must support AirPrint (most printers made after 2013 do).
Make sure your iPhone/iPad and printer are on the same Wi-Fi network.
Open what you want to print (photo, document, webpage, email).
Tap the Share button (the box with an upward arrow) → scroll down and tap Print.
Tap Printer → your AirPrint printer should appear. Select it.
Choose number of copies and pages → tap Print in the top right corner.
Printer not showing under AirPrint? Go to your printer's network settings and ensure AirPrint is enabled. Some printers require a firmware update to enable AirPrint. Check the manufacturer's website.
Android supports printing via the Mopria Print Service (pre-installed on most modern Android phones) or your printer brand's dedicated app.
Go to Settings → Connected devices → Connection preferences → Printing. If "Default Print Service" is listed, it's already set up.
If no service is shown, download Mopria Print Service from the Google Play Store (free) and enable it.

USB setup is simpler than Wi-Fi and useful if your printer doesn't support wireless printing, or if you only need to print from one computer. You will need a USB-A to USB-B cable (the square-ended cable) — often not included in the box.
Do not connect the USB cable yet. First install the printer driver from the manufacturer's website (see the Driver Install section below). The installer will tell you when to plug in the cable.
If you don't have a driver, plug the USB cable from the printer into your computer. Windows will attempt to install a basic driver automatically via Windows Update — wait 2–3 minutes.
On Mac, plug in the USB cable. macOS will detect the printer and prompt you to download the necessary software. Click Download & Install.
Once installed, the printer will appear in Settings → Printers & scanners (Windows) or System Settings → Printers & Scanners (Mac). Set it as default if desired.
Print a test page to confirm the USB connection is working correctly.
A USB-connected printer can only print from the computer it's directly plugged into. To print from multiple devices, set up Wi-Fi instead.

Go to the official manufacturer support website (see brand links below). Do not download from third-party sites — they may bundle unwanted software.
Search for your printer model and select your operating system (Windows 11 64-bit, macOS Ventura, etc.).
Download the Full Feature Software & Drivers package (recommended). This includes the printer driver, scan driver, utilities, and ink monitor.
Run the downloaded installer. When it asks for the connection type, select Wireless (for Wi-Fi) or USB (for cable). Follow all on-screen steps.
After installation completes, print a test page from the installer or from Printers & Scanners to confirm everything is working.
